Refund & Cancellation Policy

1. Project Cancellation by Client

  • Clients may request to cancel a project within 7 days of the initial payment, provided that no significant work has been completed.
  • If cancellation is requested after work has begun, the client will be billed for the portion of work already completed.
  • Any cancellation request must be submitted in writing via email to [jonathan@matrixxai.com].

2. Cancellation by the Company

We reserve the right to cancel a project under circumstances such as:

  • Lack of required information or materials from the client.
  • Repeated delays in communication
  • Violation of our terms or misuse of services

If the project is cancelled by us, the client will receive a partial refund based on the amount of work completed.

3. Refund Policy

Refunds depend on the stage of the project at the time of the request:

3.1 Before Work Begins

  • A 100% refund is eligible if the client cancels before any work has started.

3.2 After Initial Planning/Mockups

  • If the initial planning, consultation, or first mockup has been delivered, a partial refund will be issued, deducting the cost of work completed.

3.3 After Design or Development Progress

  • Once the design, coding, or development stage has started, refunds are not guaranteed.
  • Refunds will only be considered if less than 50% of the project is completed.

3.4 Completed or Delivered Projects

  • No refunds will be issued for projects that are completed, approved, or already delivered to the client.

4. Non-Refundable Fees

  • Certain items are strictly non-refundable:
  • Domain name registrations
  • Hosting packages
  • Third-party software, plugins, or tools purchased on behalf of the client
  • Rush or priority service fees

5. Revisions and Changes

  • Revisions are included based on the package chosen.
  • Requests outside the original scope may incur additional charges and are not grounds for cancellation or refund.

6. Delivery Time frames

  • All timelines are estimates and depend on client communication and approval speed.
  • Delays caused by lack of information, slow responses, or change requests from the client do not qualify for refunds.
  • We aim to review all requests within 3–5 business days.
